Privacy Policy

Who we are

Axiom Services is a trading name of Jan Bezuidenhout, a sole proprietor, at 12 Miller Street, Summerstrand, Gqeberha, 6001. We are the responsible party for the personal information described in this policy.

What we collect

• Contact form: your name, business, email address, phone number, message and budget range.
• Your account: your email address and, if you add them, your first name, business name and phone number.
• Billing: your plan, amounts paid and PayFast payment references. Card details go straight to PayFast. We never see or store them.
• App waitlist: your email address.
• Bookings: the details you give Calendly when you book a call.
• Security: your IP address and a session cookie, to keep you signed in and to stop abuse of our forms.
• Website use: how you move through our public pages, such as clicks, scrolling and pages viewed, recorded by Microsoft Clarity. Anything you type into a form is masked and not recorded.

When we build a system for your business, it may handle personal information about your own customers. In that case you are the responsible party and we act as your operator. We process that information only to deliver the work you asked for, under a written agreement.

Why we collect it

• To reply to your enquiry and give you a quote.
• To deliver, host and support the services and plans you sign up for.
• To bill you and keep financial records, as tax law requires.
• To keep our website and your account secure.
• To see how people use our website, so we can make it clearer and easier to use.
• To tell you when our apps launch, if you joined the waitlist.

We do not sell your information and we do not send marketing you did not ask for.

Cookies

We use one essential cookie to keep you signed in and to protect our forms. On our public pages we use Microsoft Clarity, which sets its own cookies to show us how visitors use the site through heatmaps and session recordings. Clarity masks anything you type into a form. The booking calendar on the Contact page is provided by Calendly and may set its own cookies. You can block or delete cookies in your browser settings at any time.

How we store and protect it

• Your account and messages are stored on our hosting with Truehost, on servers in a secure data centre.
• Every page is served over an encrypted HTTPS connection.
• There are no passwords to steal. You sign in with a one-time code that expires after 10 minutes.
• Card payments are handled by PayFast. We never see or store your card details.
• Only Jan Bezuidenhout has admin access, protected with two-factor authentication.

Some of our service providers store data outside South Africa. When that happens we only use providers bound by data protection laws or agreements that give protection similar to POPIA, as section 72 of POPIA requires.

Who we share it with

We share personal information only with the service providers we need to run Axiom Services:

• Truehost, for website hosting, our database and email.
• PayFast, to process payments.
• Calendly, to book calls.
• Microsoft (Clarity), to understand how visitors use our website.
• Meta (WhatsApp), when you message us or when we send WhatsApp messages for a project.
• AI providers such as OpenAI and Anthropic, only for projects that use AI, and only through their business services that do not train on your data.

We may also share information when the law requires it.

How long we keep it

• Enquiries that do not lead to work: up to two years.
• Account information: while your account is open and for one year after it closes.
• Invoices and payment records: five years, as the Tax Administration Act requires.
• Sign-in codes: deleted within a day.
• Waitlist emails: until the apps launch or until you ask us to remove you.

Your rights

You can ask us to show you the information we hold about you, correct it, delete it or stop using it. You can also object to how we use it and withdraw any consent you gave. Email our Information Officer and we will reply within 30 days.

If you are not happy with how we handled your information, you can complain to the Information Regulator at www.inforegulator.org.za.

If something goes wrong

If we believe your personal information has been accessed without permission, we will tell you and the Information Regulator as soon as reasonably possible, as section 22 of POPIA requires.

Children

Our services are for businesses and adults. We do not knowingly collect information about children.

Changes to this policy

We may update this policy. The date at the top shows when it last changed. If a change affects you significantly, we will email you.
