From the first call to live, usually in about two weeks

Here's exactly what happens, what we need from you and when. If any of it doesn't suit how your business runs, say so on the first call. We'll adjust it. The process isn't sacred.

Stage one

The call

Twenty minutes, free, no obligation

You talk us through a normal week and where the hours go. We ask about volumes, the tools you use and what happens when somebody's on leave. By the end you'll have a straight answer on whether automation pays for itself here and roughly what it would cost.

What we need
Twenty minutes and honesty about volumes. Rough numbers are fine.
What you get
An opinion, a price range and a recommendation on which process to start with.
What we won't do
Send a proposal you didn't ask for. Chase you more than twice.
Stage two

The scope

Two pages, a couple of days

If it's worth doing you get a written scope. Two pages, plain language, no appendix. It says what gets built, what it will do, what it won't do, what we need access to, the fixed price and the go live date. Nothing starts until you've signed it.

What we need
A proper read, your questions and a signature. Push back here instead of later. This document is what we build against.
Payment
Half the setup fee on signature, half on go live. Your monthly starts the month after it launches.
Changes
Small tweaks during the build are included. Anything that changes the shape of the job gets requoted before it happens, so it never turns up as a surprise on an invoice.
Stage three

The build

Usually about two weeks

We build it, then run it against your real historical enquiries instead of invented test cases. Part way through you see a working version and get to change your mind about the wording while changing it is still cheap.

What we need
Access to the accounts involved, granted in your own name, plus about thirty minutes to look at the working version.
How we talk
A WhatsApp thread straight to the person building it. No account manager in the middle relaying messages.
If it slips
You hear the day we know, not the day it was due.
Stage four

Go live

Launch day

We switch it on and watch it closely through the first busy period, because that is when real customers find the edges no test ever does. You don't have to learn anything technical. The point of paying somebody to run this is that you get to carry on running your business.

  • A short walkthrough so you know what it's doing and how to take over a conversation
  • Live monitoring from day one, with alerts coming to us rather than to you
  • Close attention through the first fortnight, when the tuning matters most
  • A direct WhatsApp line for anything that looks wrong
Stage five

The part that actually matters

Launching an automation is the easy half. Keeping one alive for two years, while every platform it touches quietly changes underneath it, is the half that decides whether this was worth doing. That is what your monthly buys.

Hosting and monitoring
The system runs and gets watched around the clock. A failure raises an alert to us, usually before you have noticed anything at all.
Repairs
When Meta, Google or your CRM changes something, fixing it is included. No per incident invoice and no waiting in a support queue.
Tuning
Prices change, services change, the questions your customers ask change. We keep the answers current. On Growth and above there's a review call every month.
Improvements
Once the first process is running smoothly, the obvious next one usually reveals itself. We tell you what it is and what it would take.
Cancelling
Month to month, with one calendar month of notice. If you ever do leave, the workflows we built are yours to take with you.
