Email and invoice automation
This is the unglamorous work that takes your evenings. Invoices, reminders, onboarding packs and the month end report. None of it needs a person. All of it gets quietly expensive when a person does it.
Specification
- Setup
- Starting at R5,500
- Monthly
- Starting at R1,900
- Build time
- Usually about a week
- Works with
- Your existing accounting and email tools
- Included in
- Growth and above
What we automate
- Getting paid
- Invoices build from the job record and send themselves. Reminders go out on your schedule, firming up in tone as they go. They stop the second payment clears. This is usually the piece that covers the cost of the build.
- Onboarding
- A new client signs. The welcome sequence, the intake form, the documents they need and the first check in all send on the right days without anybody remembering.
- Document generation
- Proposals, contracts and certificates built from one form submission, using your template and your branding.
- Winning people back
- Customers who haven't been in for six months get a message that mentions what they last bought, not a generic newsletter.
- Reporting
- The month end summary somebody rebuilds by hand every month, arriving on its own with the same figures pulled the same way.
Deliverability
Automated email is worthless if it lands in spam
Most of the automated email we get asked to fix is technically working and practically invisible. Getting the authentication right is part of every build here. It isn't an upsell.
- SPF, DKIM and DMARC records set up and verified on your domain
- Sending reputation warmed gradually instead of blasting on day one
- A real reply address that reaches a human, something mail providers weigh heavily
- Unsubscribe handling that works, because POPIA requires it and inbox providers check
- Bounce and complaint handling, so a dead address gets removed instead of retried forever
What you get
- The running sequences
- Live, with timing and wording agreed with you before launch.
- Editable templates
- Change the wording yourself without touching the automation behind it.
- A domain health report
- What your authentication looked like before and after, in plain language.
- Ongoing monitoring
- We watch bounce and open rates and tell you if something starts slipping.

We'll pick one process apart with you and give you a straight number. If automating it won't pay for itself we'll say so. You'll still walk away knowing where your hours go.
