What we do with your information, in plain language.
This covers two separate things: what this website collects when you visit it, and how we handle your customers' information when we build something for you. They have different rules and we keep them apart.
- This site has no analytics, no advertising pixels and no tracking of any kind. Nobody is watching you read it.
- Browsing it sets no cookies at all. Submitting the contact form sets one, to stop the form being used to send floods of mail.
- The only information we get is what you type into the form, plus the IP address it arrived from.
- We do not sell it, we do not add you to a mailing list, and there is no follow up sequence.
- When we build something for you, your customers' data stays in your accounts. We ask for the least access that will do the job and hand every credential back when we are finished.
Axiom Services is the responsible party for the information this website collects, in the language the Protection of Personal Information Act uses. That means we decide why it is collected and what happens to it, and we are the ones you hold to account for it.
When we are building and running automation inside your business, the relationship flips: your business is the responsible party for your customers' information and we are an operator acting on your instructions. We do not decide what happens to that data. You do.
- Reading the site
- Nothing. There is no analytics package, no advertising pixel, no session recording and no cookie. The pages are plain HTML and the only script is the one that runs the menu, the demo and the form.
- The contact form
- Your name, your business name if you give one, your WhatsApp number and email address if you give them, and whatever you write in the message box. One of the two contact fields is required, because otherwise we cannot answer you.
- Sent with the form
- The IP address the message came from and the time it arrived, both included in the email that reaches us. They are there so that if the form is abused we can see where it came from.
- The live demo
- Nothing leaves your browser. The demo assistant is a fixed script running on your own device. Nothing you click there is sent anywhere or stored.
- Server logs
- Our hosting provider keeps standard web server logs — IP address, page requested, time, browser string. That is a normal part of running any website and we do not use those logs for anything beyond diagnosing faults and abuse.
One cookie, and only if you send the form
Reading any page on this site sets no cookies whatsoever. There is nothing to consent to and no banner asking you to, because there is nothing to ask about.
When you press send on the contact form, the server sets a single session cookie. It holds no information about you — only a random identifier the server uses to remember that a message was just sent from your browser, so the form cannot be used to fire hundreds of emails in a row. It expires when you close your browser.
- Why we have it
- To answer your enquiry and, if it goes further, to quote and do the work. That is the whole purpose. Sending us an enquiry is not consent to be marketed to.
- How long we keep it
- Enquiries that do not turn into work are deleted within twelve months. Where we did the work, we keep the correspondence and the records for as long as we are required to for tax and accounting, which in South Africa is five years.
- What we never do
- We do not sell your information, rent it, trade it, or hand it to anyone for their own marketing. There is no mailing list to be added to.
- If mail delivery fails
- The form writes a copy of any enquiry it could not deliver to a file on the server, so that nothing you send us is silently lost. That file is not reachable from the web, and entries are removed once we have picked the enquiry up.
- Our hosting provider
- This site and its mail run on shared hosting, so the provider necessarily handles the enquiry in transit and holds the server logs.
- Google Fonts
- The typeface is loaded from Google's font service, which means your browser makes a request to Google and Google sees your IP address as part of that. No cookie is set by it. If you would rather that did not happen, an ad or script blocker will stop it and the site will still work, in a different typeface.
- Nobody else
- There is no third party analytics, no advertising network, no chat widget and no embedded tracker on this site. The complete list of outside services it touches is the two above.
- Where it is processed
- Some of these providers operate servers outside South Africa. Where personal information leaves the country, POPIA requires that it goes somewhere with comparable protection or with your consent. If this matters to your business, ask us and we will confirm in writing exactly where a given piece of your data sits before you commit to anything.
The part that matters if you hire us
Building automation means touching the systems your business already runs on, and those hold your customers' personal information. This is how we handle that, and it is written into every scope document rather than left as a promise on a website.
- It stays in your accounts
- We connect the tools you already pay for. Your customer data continues to live in your CRM, your calendar and your accounting package, under your ownership, not ours.
- Least access that works
- We ask for the narrowest permissions the job needs rather than an administrator login, and we say what each one is for before you grant it.
- Credentials handed back
- Every connection is made with your own accounts. On completion we hand back or revoke what we were given, and you can revoke it yourself at any point without asking us.
- Testing on real messages
- We test against enquiries your customers have actually sent, because invented ones prove nothing. Those stay inside your systems, are used only to check the build, and are not copied anywhere.
- Opt outs that work
- Anything we build that sends messages carries a working opt out and honours it, because POPIA requires it and because a broken one damages you, not us.
POPIA gives you rights over your own information, and they cost nothing to use.
Write to info@axiomservices.co.za and say which of these you want. We will do it within a reasonable time and we will not ask you why.
- Ask what personal information we hold about you, and get a copy of it
- Have anything wrong corrected, or anything incomplete completed
- Have it deleted, where we are not required by law to keep it
- Object to us processing it, and withdraw consent you have given
- Complain to the Information Regulator if you think we have handled it badly

- Tell us first — most things are a misunderstanding and we would rather fix it than argue about it. If that does not satisfy you, you are entitled to take it to the Information Regulator without coming to us at all.
