When you get money back, and how quickly.
Setup fees and monthly fees work differently, so they are dealt with separately below. None of it is written to be hard to claim — if you have to read a policy twice to work out whether you qualify, the policy is doing something dishonest.
- Setup fee: returned in full if the system is not doing what the scope said, for ninety days after handover. That is the guarantee, and it covers Growth and Scale.
- Monthly fee: month to month. Cancel whenever you like. Months already run are not refunded, because the hosting, monitoring and support genuinely happened.
- You keep the build either way. We do not take the workflows back.
- Refunds go out within five working days of being agreed, to the account they came from.
The ninety day guarantee
The scope document lists, in plain language, what the system will do. For ninety days after handover, if it is not doing that and we cannot make it, the setup fee comes back in full.
It applies to the Growth and Scale tiers. Launch is a single workflow at the lowest setup fee we offer and is priced without the guarantee built in.
- Cancelling
- Any time, by WhatsApp or email. There is no notice period and no cancellation fee. It takes effect at the end of the month you have already paid for, and nothing bills after that.
- Months already run
- Not refunded. The monthly covers hosting, monitoring, tuning and repairs, and over a month that has passed those were genuinely provided whether or not anything broke.
- Paid in advance for longer
- If you have paid ahead for months not yet started, the unused portion is refunded when you cancel. We do not keep money for a service we are not going to provide.
- If we cancel
- If we stop supporting something from our side, you get the unused portion of that month back and at least thirty days' warning so nothing goes dark on you without notice.
- What you keep
- The workflows we built, and every credential in your own name. Cancelling the monthly stops the monitoring and the repairs, not the automation itself.
- Before you commit
- Diagnosis on an existing site costs nothing. You get a firm figure and a time estimate before we touch anything, and you are free to say no with nothing owed.
- Fixes
- If a fix does not solve the problem it was quoted for, you do not pay for it. If the same problem comes back within fourteen days we fix it again at no charge.
- New site projects
- Quoted per project, with the payment schedule set out in that quote. If you stop the project part way, you pay for the stages already delivered and nothing beyond them, and you keep what has been built to that point.
One category, and it is the one we never took your money for in the first place.
Third party fees are paid by you, directly to the provider — the WhatsApp Business API, per message costs, your CRM licence, domain and certificate fees. We tell you what those come to before you commit and we do not mark them up, which also means we never hold that money and cannot give it back. If you want one of those refunded it has to come from whoever charged it.
- How to ask
- Message or email and say plainly that you are claiming, and which part you mean. You do not need to build a case or fill in a form.
- What happens next
- For a scope claim we get one attempt to fix the thing you are pointing at. If we cannot, the refund is agreed. For everything else on this page there is nothing to assess.
- When it arrives
- Within five working days of being agreed, by EFT to the account the payment came from. If that account is closed, tell us where to send it instead.
- In what currency
- Rand, for the amount invoiced. Bank charges on our side are ours, not deducted from what you get back.
Talk to us before anything else. It is usually a misunderstanding.
A twenty minute call has settled every one of these so far. If it does not settle yours, nothing on this page limits any right you have in law, and you are free to take it further without asking our permission. We would just rather you did not have to.
